Secretarial Team Lead - Bristol

Job Introduction

DAC Beachcroft is seeking to recruit a Secretarial Team Leader for our Bristol Office. 

Reporting to the Secretarial Manager, the main purpose of this role is to supervise the secretarial resource in the EPI Group. In addition to providing managerial support you will be required to provide secretarial support within the Employment team to your allocated fee earners, to include the Head of the Employment Team and to provide support to other practice groups as and when required. 

The firm is regulated by 3 UK regulators, The Solicitors Regulatory Authority (England & Wales), The Law Society of Scotland and The Law Society of Northern Ireland, as such there are 3 sets of accounts rules that need to be adhered to.

Role Responsibility

  • Co-ordinate and manage work flow
  • Manage the day to day workload of the team
  • Conduct, one to ones, quarterly reviews and annual performance reviews for members of your support team
  • Conduct interviews for secretarial/admin positions across the Bristol office
  • Responsible for the induction of new secretaries/admins in to the team
  • Collate disclosure documentation
  • Create and update electronic bundles
  • Amend and engross documents to client specifications
  • Manage the case management system
  • Input data to CRM database as and when required by the practice
  • Deal with billing and accounts queries
  • Prepare and create client reports
  • Scanning correspondence and documents to the relevant electronic file
  • Respond to client queries
  • Manage fee earner diaries, booking day to day appointments and making travel arrangements is crucial due to the role working for the Cluster Head of Employment
  • Assist in client events as and when required
  • Manage fee earner inboxes during periods of absence
  • Authorise holiday requests whilst ensuring there is adequate cover for the team
  • Initiate performance improvement plans, work to resolve disputes and grievances if appropriate

The Ideal Candidate

  • Previous experience within a legal environment is essential as is a minimum typing speed of 65 WPM
  • A secretarial NVQ / Diploma or equivalent would be beneficial but is not essential
  • Supervisory experience would be beneficial
  • Must have advanced IT skills, particularly in Microsoft packages
  • Demonstrable ability to multitask and prioritise a full workload under pressure and the ability to work independently
  • An excellent eye for detail with a concern for quality and accuracy
  • A client service-focused approach, interacting with clients in a professional manner at all times
  • Excellent planning and organisational skills
  • Team oriented and collaborative with a flexible, can do attitude
  • Excellent all-round communication skills and the ability to engage effectively and concisely with different audiences at all levels
  • Ability to present key messages confidently
