Legal Secretary (Global) - London

DAC Beachcroft is looking to appoint a Legal Secretary to join our Global team in London.

This is an exciting opportunity for a secretary with paralegal experience to join a busy team working on a very high profile and sensitive project.  Someone with exceptional billing experience, who has great document  management skills, great secretarial skills and who is prepared to “muck in” and join likeminded individuals within an existing highly motivated team.

Role Responsibility

Forming an integral part of an established team of paralegals and fee earners working predominantly on one high profile and sensitive project, the main purpose of this role is to provide an excellent standard of secretarial and administrative support to that team, as well as being able to support the wider secretarial team, as time permits.  

Key Responsibilities

Able to work independently, pro-actively and with accuracy, key responsibilities include: 

  • Proactively assisting with billing, cash collection and accounts queries and liaising with internal support teams to resolve issues quickly and effectively
  • Confidently managing large documents, creating versions, amending, proof reading and creating comparisons to highlight changes to include digital dictation
  • Providing a first class client-facing service, liaising positively with clients and their support staff over the phone, email and in person, and building relationships as appropriate
  • Effective prioritisation and ownership of tasks whilst managing a full workload
  • Booking client and internal meetings, video and audio conferences,  to include proactive diary management and co-ordination
  • Creating and editing spreadsheets and PowerPoint presentations, making the most of available technology and showing appropriate creativity to maximise professional impact of documentation
  • Opening and closing files
  • Filing, archiving, photocopying and scanning documents as and when required
  • Reviewing documents and preparing electronic and hard copy bundles of documents for counsel/experts/factual witnesses
  • Building and maintaining a level of individual knowledge required for the role
  • At all times handling confidential information in line with the firm’s data security protocols
  • To assist with some paralegal activities as required,, a working knowledge of document management systems such as Relativity would be an advantage but is not essential

The Ideal Candidate

  • Previous secretarial experience within a legal/professional services environment is preferred (however not essential) along with any previous paralegal experience, with a minimum typing speed of 65wpm.
  • A secretarial NVQ / Diploma or equivalent would be beneficial but is not essential
  • Must have good IT skills, particularly in Microsoft packages (including each of Outlook, Word, PowerPoint, Excel) and prior experience of working with a case management system is preferable.
  • Good working knowledge of 3E accounts software
  • An excellent eye for detail with a concern for quality and accuracy
  • Team oriented and collaborative with a flexible, can do attitude
  • Ability to communicate clearly and concisely orally and in writing
  • Experience of using a case management system helpful, although training will be provided
  • Attention to detail and awareness of quality standards in work produced is important
  • Ability to remain calm under pressure, prioritising workload and multi-tasking where necessary
  • Enthusiastic and approachable with a committed and flexible attitude to work
