Legal Secretary (Employment) - Leeds

Job Introduction

DAC Beachcroft is looking to appoint a Legal Secretary into our busy Employment Team in Leeds.

The role

The main purpose of this role is to provide an excellent standard of secretarial/administrative support to approximately 23 fee earners along with 2 colleagues, 1 of whom is part time, across the Leeds Employment team. This team is one of the leading Employment law practices in the region, and is recognised as being expert advisers to many household name businesses and organisations.

The hours for this vacancy are 9:30-17:30 Monday to Friday (typically office based) and there may be some flexibility on the hours by discussion.

The team

DAC Beachcroft’s Employment, Pensions and Immigration team is over 100 strong with 17 Partners and a presence in London, Leeds, Manchester, Newcastle and Bristol.  We have a thriving and large commercial client base and a strong public sector client base, including a significant number of household names and listed businesses.  Each team is highly ranked in both the Legal 500 and Chambers and Partners Guides.

The team advises clients on issues from daily personnel matters, including disciplinary and grievance issues, to strategic management issues such as redundancy programmes, industrial action, and transfers of employees.  We also work closely with our commercial and corporate colleagues to provide support on transactional matters.

Role Responsibility

  • Prepare initial documents for fee earners (both hard copy and electronic) by sorting, scanning, creating and amending document bundles for cases
  • Checking document bundles if done by the Office Services team before sending out often with short deadlines
  • Liaise with Counsel and other legal representatives
  • Manage fee earner diaries, booking day to day appointments and making travel arrangements
  • Effective prioritisation of tasks within the team working with their STL to meet deadlines whilst managing a full workload
  • Maintain monthly MI reporting for the fee earners – pulling off information and updating documents
  • File, archive, photocopy, scan and fax documents as and when required
  • Ensure that client contact information is kept up to date
  • Proactively assist with ad-hoc business development and communications activities e.g. client contact reports, team sheets
  • Prepare correspondence and documents both written and occasionally from digital dictation
  • Answer and make telephone calls in the line of their role, answering a help line and ensuring those calls are returned by the most appropriate person promptly
  • Use a case management system and open and close files for the team
  • Maintain a level of individual knowledge required for the role and share new/existing knowledge with their colleagues
  • Assist the Leeds dedicated accounts support when necessary with disbursement and accounts queries
  • Effectively work with fee earners and secretarial team members
  • Help maintain a clean office and clear desk
  • Handle confidential information in line with the firm’s data security protocols

The Ideal Candidate

You will have:

  • Previous secretarial experience within a legal/professional services environment, ideally within a Employment & Pensions team is preferred (however not essential) with a minimum typing speed of 65wpm.
  • Must have good IT skills, particularly in Microsoft packages
  • An excellent eye for detail with a concern for quality and accuracy
  • A focused client service approach is essential
  • Team oriented and collaborative with a flexible, can do attitude
  • Ability to communicate clearly and concisely orally and in writing
